A resident's folder
Every resident has their own folder, e.g. with the inspection protocol of their apartment. Only they and the office can see it.
For the board only
Contracts, policies and invoices in an administration folder residents can't see.
Type, date and number
Every document has a type (resolution, minutes, contract, policy, invoice, inspection protocol), an issue date and a number. That makes it easy to find a resolution from years ago or every protocol of one inspection, including documents added from the paper archive.
